Invitation letters for a visa
An invitation letter can strengthen a visa application from Ghana — but only when it is genuine, complete and backed by the host's own documents. Here is how to get it right.
The short answer
- An invitation letter is a written statement from a host abroad confirming they are inviting you and, often, hosting or supporting you.
- It supports your application but never replaces your own funds, ties and honest purpose.
- A good letter names both parties clearly, states the relationship, the dates and who covers what costs.
- The host's own documents — status abroad, address and often finances — give the letter its weight.
- A vague or exaggerated letter can raise more doubts than it settles.
- Ghana Travel & Tour can help you and your host prepare a clear, credible invitation.

What an invitation letter is — and isn't
An invitation letter is a written statement from someone abroad who is inviting you to visit — a relative, friend or business contact. It typically confirms who you are, your relationship, why you are coming, how long you will stay and where, and sometimes who is covering your costs. For visits to family or friends, it is a common and useful part of the file.
What it is not is a guarantee. An invitation does not, on its own, secure a visa, and it never replaces your own proof of funds, your ties to Ghana or a genuine purpose. It supports your case; it does not carry it.

Requirements differ by country, so confirm what your destination expects on the official embassy or VFS site, and keep our visa documents checklist nearby.
What a good invitation letter contains
A strong letter is specific, not flowery. It should clearly identify both people, state the relationship and how it came about, and set out the practical details of the visit. Vagueness invites doubt, so precise dates, a real address and a plain statement of arrangements matter.
At a minimum, a well-written invitation covers the essentials below. Your host should sign and date it, and provide contact details so the information can be checked.
- Host's full name, address and contact details
- Your full name and passport number
- The relationship and how you know each other
- Purpose of the visit and exact dates
- Where you will stay
- Who will cover travel and living costs
Honesty throughout is essential. A letter that overstates the relationship or promises more than the host can support does more harm than good.
The host's supporting documents
The letter gains its weight from the documents behind it. A host abroad is usually expected to show their legal status in that country — citizenship, residence or a valid visa — along with proof of their address, such as a tenancy agreement or utility bill.
Where the host is helping to fund your trip, their own financial evidence matters: recent bank statements, payslips or business records showing they can genuinely support you. This is where an invitation connects to the wider question of funds, and why it works best alongside, not instead of, your own money. If the host is covering costs, their statements are read much like your own would be.

Present the host's documents cleanly and consistently. Contradictions between the letter and the paperwork undermine the whole submission.
How much weight an invitation really carries
It is tempting to think a warm invitation from a well-settled relative will secure a visa. In practice, its influence is real but limited. It helps establish your accommodation and purpose, and a credible host adds reassurance — but the officer is still focused on you: your finances, your ties to Ghana and your intention to return.
This is why an invitation cannot rescue a weak application. If your own funds are thin or your ties unclear, a letter will not fill the gap, and over-reliance on a host is a recurring theme in our guide to visa refusal reasons. Think of the invitation as one supporting pillar in a case you must still build yourself.
Common mistakes to avoid
The usual pitfalls are easy to name. Letters that are vague about dates or arrangements, that exaggerate a distant relationship into a close one, or that promise financial support the host cannot prove, all invite scepticism. So do inconsistencies between the letter, the host's documents and your own application.
Another mistake is treating the invitation as the centre of the application rather than a supporting piece. Your purpose should still stand on its own, and your ties to Ghana should be clear whatever the letter says. For the broader rules on what any destination expects, our overview of visa requirements is a useful companion.
Keep it truthful, specific and backed by evidence, and the letter will do its job — quietly strengthening a case you have already made well.

Questions people ask
Do I always need an invitation letter?
Not always. It is common for visits to family or friends and for some business trips, but many tourist applications do not require one. Check what your destination expects on the official embassy or VFS website.
Who should write the invitation letter?
Your host abroad — the relative, friend or business contact inviting you. They should sign and date it and provide contact details, along with their own supporting documents.
Does an invitation letter guarantee a visa?
No. It supports your case by helping establish your purpose and accommodation, but the officer still assesses your funds, ties to Ghana and intent to return. Approval is never guaranteed.
What documents should my host provide?
Usually proof of their legal status abroad, proof of address, and — if they are supporting you financially — their own bank statements or income evidence. These give the letter its weight.
Can the invitation replace my own proof of funds?
No. Even when a host covers costs, your own financial picture and ties to Ghana still matter. The invitation works alongside your evidence, not instead of it.
Can Ghana Travel & Tour help with the letter?
Yes. We help you and your host prepare a clear, credible invitation and check that it lines up with the host's documents and your own application before you submit.
What I know about Ghanaian travel comes from doing it: filing passport and visa applications, booking flights and hotels, collecting people from arrivals at two in the morning, and driving the Accra, Tema, Cape Coast and Kumasi runs week after week. Where this guide describes how something works, it is because we have done it.
Rules, fees and timetables in Ghana change. I have deliberately not quoted figures that go stale — where a number matters I name the office to confirm it with. If you spot something out of date, tell me and we will fix it.
