Getting your documents right the first time
Most applications are not refused on the strength of the traveller; they are refused on a photograph, a mismatched name or a bank statement nobody explained.
The short answer
- Photograph rules differ by authority, so take the specification from the body you are applying to — Ghana Immigration Service for a Ghanaian passport, the relevant embassy or high commission for a visa — and hand that specification to the studio rather than asking for passport photos.
- Names must match across every document you submit; a birth certificate reading one way and a bank statement reading another is one of the most common reasons a file is delayed or rejected.
- Bank statements persuade through pattern, not through a single balance, so submit several months of ordinary income and spending rather than a lump sum deposited days before you apply.
- An invitation letter supports an application but never carries it alone, and it must be consistent with what you have said about your dates, your accommodation and who is paying.
- Certified copies mean copies certified by someone the receiving authority accepts, and each embassy publishes who that is, so check before you pay a notary.
- Assemble the whole file, then read it as if you were the officer deciding, because most weak applications are internally contradictory rather than dishonest.

Why files fail on paperwork rather than on people
An officer assessing your file is not deciding whether you are a good person. They are deciding whether the documents in front of them tell one consistent story, and most weak applications fall down because they tell two.
The pattern repeats across passport offices and visa sections alike. A birth certificate gives a name in one order, the national ID gives it in another, and the application form gives a third version with a middle name that appears nowhere else. A statement shows a modest salary for four months and then a large deposit ten days before submission. A letter of invitation names dates that do not match the flight booking. None of it is fraud. All of it creates doubt, and doubt is resolved against the applicant.
The good news is that this is fixable work, done at a desk, before anything is submitted. It is also work nobody enjoys, which is why so many people skip it and then spend far more time and money on an appeal or a fresh application. Ghana Travel & Tour spends most of its document time on exactly this — reading a file back the way the officer will read it.
Officers do not reject people. They reject contradictions.
The photograph, and why the studio is not the authority
Take the photo specification from the body you are applying to and hand it to the studio, because a photographer who says "passport size" is working from habit rather than from the current rules of the authority deciding your case. Dimensions, background colour, head height within the frame and how recent the photo must be all differ between the Ghana Immigration Service and the various embassies.
The requirements that are broadly common are worth knowing anyway. A plain, evenly lit background with no shadow behind the head. A neutral expression with the mouth closed and both eyes open and visible. The whole face in sharp focus from the crown to the chin, without hair falling across the eyes. No glare on spectacles, and many authorities now simply prefer that you remove them. Head coverings are generally accepted where worn for religious reasons, provided the face from the bottom of the chin to the top of the forehead is clear.
Digital submissions add their own trap. Where an online portal asks for an upload, it will specify a file size range and a pixel dimension, and a photograph that is perfect on paper can be rejected by the upload check for being too large, too small or too heavily compressed. Ask the studio for the digital file as well as the prints, and check the numbers yourself before you upload.
One practical note for anyone applying in Accra: there are competent studios around most of the main commercial areas, and the ones that regularly handle visa work will know to ask which embassy the photo is for. If a studio does not ask that question, tell them anyway.

Birth certificates and the documents that sit underneath everything
Your birth certificate is the root document that every other identity document is meant to agree with, so if there is a problem anywhere in your paperwork it is usually cheapest to fix it there first. For a Ghanaian passport application this is not optional supporting material; it is the evidence of who you are and where you were born.
Two situations come up constantly. The first is a late or reissued registration — someone registered years after birth, sometimes as an adult — which is lawful and normal in Ghana but attracts closer reading, particularly if the details on it differ from a baptism card or a school certificate. The second is a certificate that has physically degraded: a folded, laminated, sun-faded document from decades ago that no longer photographs cleanly. In both cases the sensible step is to obtain a current certified copy from the Births and Deaths Registry rather than submitting the original you have carried for years.
For people born abroad to Ghanaian parents, the picture is different again, and the documents that matter are your foreign birth certificate together with proof of your parents' Ghanaian nationality. That route has its own requirements and its own queue, and our guide to applying for a Ghanaian passport sets out how the application itself is structured.
Whatever your situation, confirm the current documentary requirements with the Ghana Immigration Service directly. They are published, they are occasionally revised, and a list copied from a forum post two years ago is not a reliable basis for an application.
Names that do not match, and how to fix them
Fix name inconsistencies before you apply, not during, because an officer has no way to confirm that Kwabena Osei Mensah and Osei Kwabena Mensah are the same person except by taking your word for it. Ghanaian naming conventions make this far more common here than in many other countries.
The usual sources of divergence are familiar. A day name used at home but not on the birth certificate. A father's name taken as a surname in one document and as a middle name in another. A Christian or Muslim name added at baptism or later in life. A marriage that changed a surname on some documents and not others. A school registering a child under a shortened version that then followed them into an ID card.
The remedy depends on the size of the problem. Where documents differ in the order of the same names, a statutory declaration confirming that the names refer to one person is often accepted, and some authorities have their own form for this. Where a name is genuinely different, a deed poll or change of name process may be needed, and that takes time. Either way the change should be made at the root — birth certificate and national identity documents — and then carried consistently through everything else.
Whatever you do, do not quietly adjust the spelling on a form to match another document. A form that does not match the certificate behind it is worse than an inconsistency you have declared and explained.
Bank statements and proof of funds
Financial evidence persuades through pattern rather than through a headline figure, so what a visa officer is reading is the rhythm of your account over months: money arriving regularly, money being spent on ordinary life, and a balance that makes sense against the trip you have described.
A single large deposit shortly before submission does the opposite of what people hope. It reads as money borrowed to dress the account, and officers see it constantly. If someone genuinely has given you funds — a parent, a sibling abroad, a sponsor — say so explicitly, show where it came from, and include a sponsorship letter and the sponsor's own evidence. An explained transfer is far stronger than an unexplained balance.
Submit statements in the form the embassy asks for. That usually means original or bank-stamped statements covering a stated number of recent months, showing the account holder's name and account number on every page. Screenshots from a banking app are generally not acceptable on their own. If you bank with a Ghanaian bank and need statements stamped, allow a few working days and ask for more copies than you think you need.
Mobile money complicates things in a way worth naming. A great deal of ordinary Ghanaian income moves through MTN, Telecel or AirtelTigo wallets and never touches a bank account, which can make a bank statement look thin next to a real life. Where that is your situation, provide the mobile money statement from the network operator alongside the bank statement, and let the two together describe your actual finances.
Invitation letters, sponsorship and what they can and cannot do
An invitation letter supports an application; it never carries one. It tells the officer who you are visiting, where you will stay and who is paying, and its value lies entirely in whether those answers agree with everything else in your file.
A useful letter is specific and unglamorous. It gives the host's full name, address and status in the country, the relationship between you, the exact dates of the intended visit, whether accommodation is being provided, and which costs the host is covering. It is signed and dated, and it comes with evidence of the host's own position — a residence permit or passport copy, proof of address, and where the host is sponsoring you financially, their own bank statements or payslips.
The failures are equally predictable. Dates in the letter that do not match the flight itinerary. A host who says they will provide accommodation while the form lists a hotel. A letter that promises full financial support while the applicant has also submitted their own funds and said they are self-funding. Each of these forces an officer to decide which version to believe.
Some countries operate a formal sponsorship or accommodation document issued by their own authorities, completed by the host in that country rather than written freehand. Where that exists, the official form replaces the letter, and a freehand letter will not substitute. Check the requirement on the website of the specific embassy or high commission, since two countries with similar visa systems often differ on exactly this point.
Employment letters, leave approval and proving you will come back
For a visitor visa, the strongest documents you can submit are the ones showing what you are returning to, and an employment letter with approved leave is usually the clearest of them. It establishes that you have a job, that your employer expects you back, and that the dates of your trip were planned rather than open-ended.
A good employer letter is on headed paper, signed by someone with authority, and states your position, how long you have been employed, your salary, the approved leave dates and the date you are expected to resume work. Contact details for verification should be real, because embassies do sometimes call. If you are self-employed, the equivalent is your business registration, your tax filings and business account statements.
Ties come in other forms too, and they matter more for some applications than others. Property documents, a lease, school enrolment for children, a spouse remaining in Ghana, an ongoing course of study. None of these is a magic document and none of them individually decides anything, but together they build the picture that an officer is trying to form.
Be careful not to overstate. A letter claiming a senior role and a salary the bank statements do not show is a contradiction you have created yourself, and it is precisely the kind of thing that turns a borderline application into a refusal. We have written separately about the most common reasons applications from Ghana are refused, and inconsistency between claimed circumstances and evidence sits near the top.
Certified copies, translations and apostilles
A certified copy is only certified if the person who certified it is someone the receiving authority accepts, so check who that is before you pay anyone. Different embassies accept different certifiers: a notary public, a commissioner for oaths, a solicitor, the issuing authority itself, or in some cases nobody at all because they want to see originals.
The certification itself normally needs to state that the copy is a true copy of the original document seen by the certifier, with their name, capacity, signature, stamp and the date. A photocopy with an illegible stamp and no name attached is not a certified copy, however official it looks.
Translation applies where a document is not in the language the receiving country works in. Most Ghanaian documents are already in English, which removes the problem for anglophone destinations, but a Schengen application may require translation into the language of the country deciding it, and the translation usually has to be done by a translator the embassy recognises rather than by a capable friend.
Legalisation is the third layer and the one people meet last. Some countries require a Ghanaian public document to be authenticated before they will accept it, through the Ministry of Foreign Affairs and Regional Integration and then the relevant mission. Ghana's position on the Hague apostille framework and the exact route for a given document should be confirmed with the Ministry and with the embassy concerned, since the process differs by destination and changes from time to time.
Forms, guarantors and the appointment itself
The form is a document like any other, and it is assessed for consistency with everything attached to it, so fill it in last, once the rest of the file exists. Applicants who complete the form first routinely commit to dates, addresses and figures that their own supporting documents then contradict.
Ghanaian passport applications involve a guarantor or endorser whose details and signature form part of the file, and the requirements for who can act in that capacity are set by the Ghana Immigration Service. Choose someone who genuinely knows you, whose own identity documents are in order, and who will be contactable. A guarantor who cannot be reached, or whose details are wrong, stalls an application as effectively as a missing certificate.
Biometric capture and in-person appointments are a separate hurdle with their own friction. Slots are released in patterns you cannot control, centres in Accra can be crowded, and arriving without one item on the checklist usually means coming back. Bring originals as well as copies, bring more photographs than required, and bring the appointment confirmation on paper rather than trusting a phone that may be out of battery by the time you reach the counter.
Expect to wait. Queues at passport and visa centres form early, the rooms are hot, and the process moves at the pace it moves at. Plan the day around it rather than around what you hoped it would take, and do not schedule anything immediately afterwards.

Assembling the file and reading it as the officer will
Before you submit anything, lay the whole file out and read it in one sitting as if you were the person deciding, checking that every date, name, address and figure agrees with every other. This takes an hour and prevents most refusals.
Work through it in a fixed order so nothing is skipped:
- Identity documents — passport, birth certificate, national ID — and confirm the names and dates of birth match exactly.
- The completed form, read line by line against those documents rather than from memory.
- Photographs, checked against the published specification, with spares and the digital file.
- Financial evidence covering the required period, with any unusual credit explained in writing.
- Employment or business evidence, including approved leave dates that match the itinerary.
- Travel details — flight reservation, accommodation, insurance where required — with dates identical across all three.
- Invitation or sponsorship documents, with the host's own evidence attached.
- Certified copies and translations, checked against who the authority accepts as a certifier.
Keep a complete copy of everything you hand over, scanned as well as photocopied. If the application is refused, that copy is the starting point for understanding why, and if you are asked for something further you will be able to answer within a day rather than a week. Applicants going through country-specific processes will find more detail in our breakdown of applying for UK, US and Schengen visas from Ghana.
Finally, confirm the checklist on the day. Requirements shift, portals change, and the authoritative version is the one published by the Ghana Immigration Service or the relevant embassy or high commission at the moment you apply, not the one that worked for your brother last year.
Where we come in on documents
We go through files the way an officer would. That means checking your photographs against the current specification, comparing names across every document, reading your financial evidence for gaps you have stopped noticing, and telling you plainly when something in the file undermines the rest of it. We do not make decisions for any authority and we never promise an outcome.
Passport applications, visa support, flight reservations and hotel bookings sit together under our travel services, and a named trip manager handles your file from start to finish. Quotes are itemised, so you can see what each part costs before anything begins.
Questions people ask
What are the photo requirements for a Ghanaian passport?
The Ghana Immigration Service publishes the current specification, covering size, background, head position and how recent the photograph must be, and that published version is the one to follow. Broadly, expect a plain evenly lit background, a neutral expression with the mouth closed, both eyes visible without glare from spectacles, and the full face in focus. Confirm dimensions with the Passport Office before printing.
Why do my names need to match across documents?
Because the officer has no independent way to confirm that two different name orders refer to the same person. Ghanaian naming conventions make mismatches common: a father's name used as surname in one document and middle name in another, or a baptismal name added later. Correct the root documents first, or file a statutory declaration confirming the names refer to one person, before applying.
How many months of bank statements do I need for a visa?
It depends on the embassy, and each publishes its own requirement, so check the specific mission deciding your application. What matters as much as the period is the pattern: regular income and ordinary spending across the months shown. A large deposit made shortly before submission weakens an application unless you explain its source and attach evidence from the person who provided it.
Does an invitation letter guarantee a visa?
No. An invitation letter is supporting evidence that identifies your host, your accommodation and who is paying. It carries weight only when it agrees with the rest of your file, including flight dates, accommodation details and your own financial evidence. Some countries require an official sponsorship or accommodation form completed in that country instead of a freehand letter, so check before writing one.
What counts as a certified copy?
A copy certified by a person the receiving authority accepts, bearing a statement that it is a true copy of the original seen, with the certifier's name, capacity, signature, stamp and date. Acceptable certifiers differ between embassies, and some authorities want to see originals instead. Check the requirement on the official website of the body deciding your application before paying a notary.
Can I use mobile money statements as proof of income?
They can support an application, particularly in Ghana where a large share of ordinary income moves through mobile wallets rather than bank accounts. Obtain a formal statement from the network operator — MTN, Telecel or AirtelTigo — and submit it alongside a bank statement rather than instead of one. Together they describe your finances more accurately than a thin bank account on its own.
What should I bring to a passport or visa appointment?
Bring the originals of everything you have copied, the copies themselves, more photographs than the checklist asks for, your completed form, payment evidence, and the appointment confirmation printed on paper. Arrive expecting to queue in heat for some time and do not schedule anything immediately afterwards. Missing a single listed item usually means returning on another day.
Do Ghanaian documents need to be translated or legalised?
Most Ghanaian public documents are in English, so translation is only an issue for destinations that work in another language, and then it normally must be done by a translator the embassy recognises. Legalisation is separate: some countries require authentication through the Ministry of Foreign Affairs and Regional Integration before accepting a document. Confirm the route with the Ministry and the relevant mission.
What I know about Ghanaian travel comes from doing it: filing passport and visa applications, booking flights and hotels, collecting people from arrivals at two in the morning, and driving the Accra, Tema, Cape Coast and Kumasi runs week after week. Where this guide describes how something works, it is because we have done it.
Rules, fees and timetables in Ghana change. I have deliberately not quoted figures that go stale — where a number matters I name the office to confirm it with. If you spot something out of date, tell me and we will fix it.
